Customer Support and Order Processing Specialist

Job Description:

Location: Sanford, Maine

We are seeking a highly motivated and detail-oriented Customer Support and Order Processing Specialist to join our growing team. We are seeking local candidates for this on‑site position in Sanford, Maine. This role has the possibility of a hybrid schedule after six months. In this role, you will serve as the liaison between customers, sales teams, engineering, manufacturing, and internal departments to ensure smooth order processing, accurate quoting, warranty handling, and exceptional customer satisfaction.
This position is ideal for someone with manufacturing customer service experience, strong communication skills, and the ability to support complex products and detailed order configurations.

Responsibilities:

Respond to incoming phone calls and online inquiries in a professional, helpful manner
Support a network of sales teams, service technicians, and partner representatives
Process quotes, purchase orders, and warranty requests
Log call information and customer data into ERP/CRM systems
Work with engineering and technical teams to provide accurate product and pricing information
Ensure customer issues are resolved promptly (warranty, troubleshooting, service-related requests)
Maintain strong product knowledge, including warranties and configurations
Ensure accuracy of orders and compliance with company policies
Collaborate cross-functionally with operations, accounting, manufacturing, and leadership teams
Apply Lean concepts to reduce waste and improve workflow
Provide exceptional customer experience and support company quality standards

Desired Background/Skills:

Excellent written and verbal communication skills
Experience in manufacturing or life sciences customer service strongly preferred
Proficient with Microsoft Office applications
Experience with ERP/CRM systems (Epicor, Salesforce, or similar preferred)
Strong organizational and analytical skills
Ability to manage multiple tasks and meet deadlines
High level of professionalism and independence
Experience with international shipments/orders is a plus
Contracts/bids administration experience is a plus
Associate’s degree preferred

Other Information:

Location: Sanford, ME
Schedule: Monday–Friday, 8:00 AM–4:30 PM
Pay: $24+/hour (DOE — higher pay available for strong experience)
Type: Full-Time | Direct Hire
Hybrid After 6 Months: Up to 2 days/week work from home
