Responsibilities: Greet visitors in a friendly professional manner. Answer telephone, forward calls and/or take messages, and ensure that the message is forwarded in a timely manner. Review employee timecards daily for accuracy. Make corrections when required. Prepare payroll summary and review for accuracy every Monday morning for the HR Department by a designated time. Collect Forms (Travelers, Packing Slips, Forklift Inspections, Trucking Logs, etc.) from the Operations Department. Collate and review for accuracy and completeness. Obtain additional information and make corrections when required. Enter material issues for powder and material usage from the travelers into M1 on a daily basis. Research and track employee traveler and timecard errors. File and scan paperwork according to procedure. Prepare mailings of checks, invoices, or other documentation as required. Perform routine office errands including but not limited to going to the bank, post office, office supply store, print shop, grocery store, local restaurants and customer sites. Maintain electronic company database of Safety Data Sheets, including updates of existing materials and adding new materials. Match accounts payable receivers to invoices. Enter accounts payable invoices in database accurately (Due date, invoice number, expense code) Scan and save matched invoices into database. Ensure Accounts Payable Vendor System is maintained through purchase order reconciliation, credit card payments and check disbursement. Process payments to vendor in a timely manner through ACH, Credit Card, and checks. Prepare employee evaluation template monthly for human resources. Process employee recognition program by printing blank recognition cards and employee certificates. Prepare and mail employee birthday cards monthly. Manage inventory of safety supplies ensuring the first aid cabinet is stocked and OSHA compliant. Assist human resources with recruitment by reviewing resumes based on set criteria for the position posted. Contact customers or vendors via phone, fax, or email on an as needed basis. Assist office staff with day-to-day activities as requested. Identify areas that can be improved and make recommendations. |

Minimum 1 year customer service experience. The ability to operate and maintain various types of office equipment – not limited to the copier, scanner, fax, calculator, computer, postage equipment Proficiency in using spreadsheets (Microsoft Excel), database and word processing software (Microsoft Word). |
