Responsibilities:
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO, including highly confidential or critical issues.
- Prioritize and determine appropriate actions, referrals, or responses using sound judgment aligned with the CEO’s style and organizational policies.
- Act as a liaison and provide support to the Board of Trustees.
- Coordinate and manage all logistics for Board meetings and events, including scheduling, agenda development, preparation and distribution of materials, and recording meeting minutes.
- Ensure compliance with bylaws and applicable rules and regulations related to Board matters.
- Manage the CEO’s calendar, meeting preparation, travel arrangements, and appointment prioritization to optimize time management.
- Prioritize inquiries and requests, troubleshoot conflicts, and make recommendations to support smooth day-to-day operations.
- Research, prepare, and develop reports, correspondence, and presentation materials for the CEO.
- Serve as a gatekeeper for the CEO, facilitating communication between the CEO and staff while maintaining trust and credibility with the Executive Team.
- Complete projects by delegating tasks to appropriate staff, including members of the Executive Team, on behalf of the CEO.
- Act as a point of contact for the public, visitors, patients, and staff related to the CEO’s business activities.
- Resolve issues independently when appropriate.
- Provide event management support as requested.
- Maintain and post required licenses, policies, and documentation in designated areas in compliance with regulatory requirements.
- Perform other related duties in support of the President/Chief Executive Officer, Chief Financial Officer, and the Board of Trustees.
- Build and maintain positive relationships with customers, including Board members, clients, staff, volunteers, and leadership, by responding promptly to questions and concerns.
- React with appropriate urgency to situations requiring quick response or turnaround and adapt to changing priorities as needed.
- Demonstrate flexibility by accepting additional duties as assigned, as qualified.
- Maintain flexibility in work schedule.
- Accommodate extended hours, overtime, or schedule adjustments as needed and work effectively both independently and as part of a team.
