Shipping and Office Administrator

Job Description:

Location: North Grafton, Massachusetts

CoWorx Staffing Services is seeking a Shipping and Office Administrator in the North Grafton, MA area. The position is responsible for coordinating customer shipments, maintaining shipping documentation, and providing administrative support to the office team. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Experience with ERP systems, especially SAP, is strongly preferred.

Responsibilities:

  • Prepare and ship customer orders accurately and on time while ensuring compliance with company shipping procedures and customer requirements.
  • Create shipping labels, package products, and prepare all required shipment documentation and paperwork.
  • Maintain accurate filing systems and records for shipping documents, order files, and related business records.
  • Follow established shipping procedures, workflows, and operational processes to ensure accuracy and efficiency.
  • Perform daily administrative duties including filing, document management, correspondence, data entry, and telephone support.
  • Provide clerical and administrative support to managers, supervisors, and office staff as needed.
  • Handle confidential and sensitive information with professionalism, discretion, and integrity.
  • Create purchase requisitions within SAP and ensure accurate documentation and approvals.
  • Receive, track, and maintain records for incoming orders, purchase orders, and related purchasing activities.
  • Communicate with vendors regarding order status, delivery schedules, discrepancies, and follow-up requests.
  • Maintain organized purchasing records, vendor files, and procurement documentation to support operational and audit requirements.

Desired Background/Skills:

  • Previous experience in an administrative, office support, or manufacturing environment preferred.
  • Proficiency with SAP, Oracle, Microsoft Outlook, Word, and Excel.
  • Strong verbal and written communication skills with the ability to interact professionally across all levels of the organization.
  • Ability to operate standard office equipment, including computers, printers, copiers, and multi-function devices.
  • Excellent organizational skills and strong attention to detail.
  • Ability to prioritize tasks effectively and manage multiple responsibilities in a fast-paced environment.
  • Demonstrated professionalism and discretion when handling confidential and sensitive information.
  • Self-motivated with the ability to work independently and take initiative.
  • Positive, team-oriented attitude with a willingness to support coworkers and departmental goals.
  • Strong multitasking skills and the ability to adapt to changing priorities.
  • Highly detail-oriented with strong organizational and recordkeeping abilities.
  • Reliable, dependable, and committed to consistent attendance and performance.
